1. Who receives booking payments and when is the fee invoiced?
Ask which account receives payouts, how the management fee is calculated and when it is invoiced. At AdminCazare, the owner receives booking payments directly into their bank account. After checkout, we invoice the owner separately for the agreed management fee. The owner can verify incoming payments in their own bank statement.
2. How can you track bookings and payments?
We list properties on multiple booking platforms and use a channel manager to synchronise availability and prevent overlapping bookings. Reports bring together bookings and payments from each platform, including direct bookings. Owners have access to this information and can compare it with their bank statements. Ask prospective managers to show you the reports and access you will receive.
3. Who cleans and checks the property after checkout?
The cleaning company or the person responsible for cleaning checks the property after guests leave. Photos and videos document its condition before check-in and after checkout. Comparing them helps identify damage or missing items and supports documentation of a potential claim. Ask who inspects, who reports problems and what evidence is retained.
4. How is damage handled?
We agree on a suitable approach with the owner: protection available through the booking platform, a refundable deposit paid directly to the owner before check-in where platform rules permit, or insurance suitable for short-term rentals. We can recommend an insurance broker to assess coverage options.
5. What about stained towels and bed linen?
In our experience, stained towels and bed linen have not been reimbursed under the platform protections or insurance policies we have worked with. A direct deposit can help recover justified costs in these situations. Following the post-checkout inspection, deductions are documented and handled under the conditions disclosed to the guest, and the balance is refunded. Normal wear must be distinguished from damage requiring specialist cleaning or replacement.
6. Why does guest registration matter?
The registration form records who stayed and for how long, with details checked against identification. It is a legal requirement for Romanian tourist accommodation to which the form applies and can help identify guests if an incident occurs. AdminCazare manages guest registration as part of property administration.
7. Who communicates with guests during their stay?
We recommend one point of contact: the management company. If the manager communicates one rule and the owner gives a different answer, guests receive conflicting expectations. Uncoordinated discounts, refunds or exceptions can create additional costs and an unprofessional impression. We handle requests and issues while keeping the owner informed and seeking approval for decisions that require it.
8. Can you see guest conversations and access logs?
Owners can access guest conversations and reports to follow how their property is managed. We also have a private Facebook group with AdminCazare and AdminLitoral property owners. Access to personal information is handled with respect for guest confidentiality. We recommend smart locks with individual codes for each booking. Depending on the model, logs show which code was used and when; they do not independently verify the identity of the person entering.
9. Is there help with classification and tax questions?
We support the process of obtaining a tourism classification certificate and help clarify tax obligations, deadlines and payment procedures according to whether the owner is an individual or a legal entity. We consult accountants, notaries and lawyers and seek clarification from ANAF when necessary. Tax decisions must be confirmed for the specific circumstances. Our aim is better organisation and predictability.
10. How do you compare offers beyond the fee?
Ask for the contract and review the included services, extra costs, access to information, damage procedures, the manager’s authority and termination conditions. Choose a company that explains the process and lets you verify the results.
